Meetings are a necessary evil in the business world - at least some would say. We all must attend them, but nobody really enjoys sitting through long, drawn-out meetings that seem to accomplish nothing. However, meetings do not have to be as long and boring as one might think. There are ways to make your meetings more productive and less painful, but it requires a good leader. In this article, we will discuss three tips for optimizing your meetings and making sure they are as effective as possible.
Tip 1: Keep It Short
The first tip for optimizing your meetings is to keep them short. This might seem counterintuitive - if you want to get more done, why would you limit the time you have? However, studies have shown that shorter meetings are more productive. People start to tune out after about an hour, so try to keep your meetings to 45 minutes or less. This way, you can get straight to the point and avoid wasting time. When keeping meetings short, it is even more important to be productive and cut to the chase.
Tip 2: Prepare ahead and start on time
it is important to be prepared for a meeting. There is not much worse than sitting in on the meeting, not really knowing what's going. Furthermore, when people a not prepared for meetings, they are wasting each other's time. Not only is a professional room booking system required on a practical level to plan all the meetings during the day, but a consensus to prepare content before meetings must also be in place.
The second tip is to start your meetings on time. This might seem like a no-brainer, but it's important. When people show up late to meetings, it throws off the whole dynamic and wastes valuable time. If you start your meetings on time, it sets the tone for the rest of the meeting and shows that you value everybody's time. The team leader should make it clear that the meeting is starting on the dot, and when this becomes known in the organization, no one wants to come late to a meeting, because that is embarrassing. This is a small change that can make a big difference in how productive your meetings are.
Tip 3: Assign a meeting leader and Action Items
The third and final tip is to assign action items. This means that at the end of every meeting, there should be somebody who is responsible for each task that needs to be accomplished. This helps to ensure that nothing falls through the cracks and that everybody knows what they need to do. This is of course organized by the team leader, who assigns the different tasks in collaboration with the team.
